Privacy Policy IFIP website 2025
The International Federation for Information Processing (hereinafter IFIP) collects and processes some amounts of personal data through several its activities.
The Policy seeks to protect individuals’ right to privacy, while guaranteeing that IFIP is able to collect and use personal data in fulfilling its mission. The protection of personal data is context specific; it is not possible to cover every scenario that might arise. For this reason, the Policy outlines high-level best-practices, modelled on leading international data protection instruments. IFIP is cognizant that simply having a Policy is not sufficient to protect against the risk of misuse or loss of personal data. In coordination with this Policy, IFIP will continue its ongoing review and implementation of relevant internal procedures and policies. The laws and legal system in the countries where the Federation operates should be considered by IFIP officers when evaluating data protection risks to individuals and/or groups.

Type of processed data
We process your Personal Information in accordance with applicable data protection laws only if applicable laws permit us to do so or if you have agreed to such processing. In case of any additional collection of Personal Information we will let you know whether the providing of such information is required by law or by any contractual obligation or whether it is required for the purpose of entering into any contractual relationship.
In case you have registered with us as Member Society representative, Technical Committee or Working Group member, the Personal Information collected and processed will include your full name, title, address, country, telephone and fax numbers, e-mail address, selected topics of interest and any other information you have provided in the Registration Form.
IFIP may also store and process data provided to us by you contacting us by e-mail or in any other electronic form.
Data collection methods
You may access our website without disclosing any specific Personal Information to us (such as name, postal address or e-mail address). Even if you do nothing during your visit other than navigate our website, read pages, or download information, we will automatically gather and store certain information about your visit in order to enable your access to our website.
Cookies
We use cookie technology. Cookie technology consists of trace elements of data, in the form of an alphanumeric identifier, that is transferred to and stored on your computer’s hard drive and which contains information about you, so that next time you visit the Website, the cookie recognises your prior visit. Cookies may also be used to compile aggregate information about areas of the Website that are visited most frequently. You can disable use of cookies by configuring their browser settings accordingly.
Cookie technology also generates and saves your user and session ID’s to your internet browser and computer to track and analyse your Website usage. We do this to identify any technical problems with the Website, so that any such problems can be corrected and create a better online experience for you.
Depending on how you use and access the Website, the cookies collect data in the following ways:

Why we use and process your personal information
Users of the Website understand and agree that, to offer certain services or functions, we must collect and process Personal Information about users.
We use the information we collect and receive for the following general purposes:
- to provide you with information, products or services you request from us;
- in order to refer you to an appropriate third-party service provider;
- to communicate with you; and
- to provide you with support.
Data retention period
As a general rule your Personal Information will be stored by us as long as we will have a legitimate interest in such storage provided that your interest in the deletion of such information does not prevail. Furthermore, we may continue to store such information even in the absence of a legitimate interest if applicable laws require us to do so. We will delete your Personal Information even in the absence of a request from you as soon as knowledge of such information will no longer be required for the purpose of processing it or if continued storage of the data would violate any applicable laws.
Place of storage
Your Personal Information will be stored and processed on PCs of IFIP Secretariat personal, handling and processing of data is restricted to authorized personnel of the IFIP Secretariat only.
An up-to-date copy of the data stored on the IFIP IT infrastructure will be stored also on the webserver of IFIP.
Transfer of data
Your Personal Information will be processed only within IFIP and only for purposes the Federation, including Member Societies, Technical Committees and Working Groups of IFIP.
Your data will also be used to provide you with information about IFIP events such as congresses and conferences. The data will, however, not be transferred to organizers of such events.
We reserve the right to pass on Personal Information to publication partners of IFIP for direct mailing to IFIP volunteers of issues of the IFIP publications.
Your personal data privacy rights
- a) You have the right at any time to request that we stop processing your Personal Information. We will promptly adhere to such request unless we can establish legitimate reasons for continuing the processing which prevail over your interests and rights, or unless the processing is necessary to enforce or defend our rights and interests in law.
- b) In case you have explicitly agreed to our storing and processing of your Personal Information, e.g. by agreeing to receive information by e-mail, you can revoke the consent at any time (this will not affect the lawfulness of the processing based on the consent given before the revocation).
- c) You have the right to request
– access to your Personal Information,
– rectification and/or erasure of the same, or
– restriction of the processing thereof.
- d) You may also ask for the portability or a copy of your Personal Information.
- e) You have the right to ask from the data controllers, at any time, information about the data processors and the persons authorized by the data controllers to process your data.

Update of privacy policy
IFIP may introduce changes to our privacy policy. IFIP will notify you in relation to these changes by publishing an updated version on our website. It will have a different date than the one shown above. Please visit the IFIP website periodically for updates.
